The Role
An exciting opportunity has arisen within Sussex Violent and Sexual Offenders Register (ViSOR) Team for a Police Staff ViSOR Admin Assistant based in Eastbourne. This vacancy will be available from August due to the impending retirement of the current job holder. Applications from suitable candidates are invited now to ensure a smooth succession process.
The role involves being the Local Point of Contact for the Eastbourne ViSOR Team. This incorporates the receipt, assessment and appropriate forwarding of all files and correspondence incorporating all other work within the ViSOR Team which includes liaising with the National Probation Service, Prison Service, Social Services, Housing, Mental Health and other force areas in relation to sexual offenders, violent offenders and other dangerous offenders falling within the MAPPA guidance.
Key Responsibilities
Key duties that you will be expected to undertake include the following:
• Create, maintain and update records in the ViSOR system. Specifically create new Visor records on receipt of relevant conviction and or notification of a sex offender registration.
• Ensure these records are accurate, consistent, relevant and timely, within MAPPA and ViSOR National standards.
• Liaise with the ViSOR Team Supervisor to assign an offender manager and allocate that record to that manager.
• Liaise with Responsible Authority and Duty to Co-operate agencies to ensure partner records are created on relevant records.
• Update or create Niche intelligence records for all new offenders (except category 2 Level 1 offenders) managed on Division, recording initial information, intelligence and relevant warning markers using the Force Template for input to Niche Intel regarding a ViSOR subject. (MOPI Compliance)
• Carry out quality control and reviews of Divisional ViSOR subjects and ensure data accuracy across Niche and PNC. (MOPI compliance)
• To enter MAPPA Level 2 meeting minutes onto the ViSOR system for offenders managed by Police on that Division.
• Archive ViSOR records at the end of registration periods by notification to SIB ViSOR Supervisor and ensure Niche Intelligence is submitted using Force Template for notification of expiry of registration requirements. (MOPI Compliance)
• Minute local professional meetings and any other relevant meetings.
• To receive all correspondence into the unit, assess it in terms of priority and relevance and then forward to appropriate officer taking into account caseloads.
• Maintain local systems supporting the management of offenders including the File Template.
• To undertake such other duties appropriate to the grade and character of work as may reasonably be required, including the duties of similar of lesser posts.
• To assist in the collation and dissemination of intelligence to the DIU and other forces.
Skills & Experience
Proven administrative experience with the ability to continually prioritise own workload.
Ability to interrogate and analyse information to solve problems and make justifiable and defensible decisions.
An awareness of diversity issues and the ability to deal with people from a diverse range of backgrounds.
Awareness of confidentiality, maintaining a high degree of integrity when dealing with sensitive and classified information.
Proven ability in problem solving and working under pressure with minimal supervision.
Experience of partnership working and working within a team.
