The Role & Key Responsibilities
This is an exciting opportunity to join the new Local Policing Service Improvement and Engagement Department (LPSIED) as a Senior Secretary.
This is a new department, which will bring together existing and new teams that will have oversight of the Crime Management Unit, Initial Investigations Team, Agile Performance & Service Improvement Team, Local Policing Communities Engagement Team and Op Safety including a number of strategic and tactical portfolios for the force.
Key responsibilities include:
Act as a main point of contact and provide support to Command Teams and Senior Managers to make best use of their time.
Proactive management of inboxes within respective business areas when Senior Command Team and Senior Managers are on leave/absent, using initiative when prioritising emails, and either responding directly or allocating email to another Manager to action.
The Senior Secretary will be responsible for ensuring departmental Email Inboxes are monitored regularly by secretaries, using initiative to problem solve and prioritise cover when required.
Use initiative to problem solve and organise secretarial services within the business area in line with the Service level Agreement, and using knowledge and experience to develop more efficient ways of providing secretarial support within the business area.
Provide secretarial support to the collaborative work undertaken by the Senior Command Team and Senior Manager where appropriate
Arrangement of meetings as requested, aligning diaries of internal and external stakeholders to maximise attendance, ensuring all information is prepared and provided in advance of the meeting,
Provide secretarial support to meetings within the team and for the wider organisation as required to ensure that accurate minutes are captured electronically, and actions are recorded and distributed.
Supporting with the co-ordination and arrangement of award ceremonies, training days, and other events for respective business areas, ensuring venues are suitable and accessible, awards are arranged and worded appropriately, training resources are readily available, and liaising with all involved to maximise attendance.
Provide Secretarial and Loggist support to unplanned and pre-planned Operations where required
Provide coaching and mentoring for lower grade Secretaries and Apprentices to encourage them to reach their full potential
Skills & Experience
Advanced Microsoft Office skills.
Minute taking experience and training
Good general IT literacy.
Accurate typing at a speed of at least 60 words per minute supported by a relevant qualification
Outlook inbox and diary management training and experience
Proven organisational skills, using initiative to problem solve and manage competing priorities while under pressure and with minimal supervision
At least 2 years secretarial experience to include regular Operational support as Loggist and/or Secretary
Experience of coaching and/or mentoring others
Ability to work under pressure in a demanding team
Strong interpersonal skills facilitating daily professional interaction with a wide variety of contacts at all levels and ranks, both within the immediate team, Sussex Police and externally.
Ability to accept responsibility and make decisions confidently demonstrating a high degree of integrity.
Ability to appropriately handle sensitive and confidential information.
