The Role & Key Responsibilities

This role will be offered as a fixed term contract to cover maternity leave until February 2025.

The Secretary is responsible for the provision of a proactive, responsive and professional secretarial service to senior managers across the force. In this role, you will provide quality, efficient and effective support and will act as the main point of contact for one or more managers. Highly self-motivated, you will possess the ability to work with minimal supervision and to deliver high quality work to tight deadlines. You will have proven experience of managing competing priorities and planning and prioritising your work effectively. You will thrive on working in a busy unit and as part of a team.

You will be expected to cover for your colleagues as and when required so good team working skills and a flexible and proactive approach are essential. You will need to deal effectively with visitors and telephone calls, ensuring high levels of customer service. Operating in a customer facing role you will have regular interaction with senior management teams and local line managers at all levels across the force.

It is essential that you are able to demonstrate good interpersonal, verbal and written communications skill and that you possess GCSE English Grade C or above (or equivalent qualification). This role will require a high degree of integrity and you will be required to maintain confidentiality and handle sensitive information appropriately. You should be able to demonstrate that you can take responsibility, that you can problem solve under pressure and that you can confidently make appropriate decisions.

The role will involve:
• Diary and email management
• Drafting responses to emails and correspondence
• Producing, collating and circulating meeting papers
• Servicing and minuting meetings; providing an effective note taking service and the organisation and booking of events, travel arrangements and accommodation
• Meeting visitors and taking telephone calls, ensuring a high level of customer service

Skills & Experience

• Good Microsoft Office skills, including knowledge of MS Word, Outlook, PowerPoint and Excel.
• Good general IT literacy
• Good verbal and written communication skills
• Accurate typing at a speed of at least 60 words per minute
• GCSE English Grade C or above (or equivalent)
• Outlook diary management experience
• Strong organisational skills and the ability to manage competing priorities
• Ability to produce good results with limited supervision and limited direct instructions • Ability to produce high quality work to tight deadlines
• Excellent customer service skills
• Ability to appropriately handle sensitive information with GDPR legal requirements
• Proven track record of secretarial and office experience
• Good interpersonal skills facilitating daily interaction with a wide variety of contacts at all levels, both within the immediate team, Sussex Police and externally

Desirable Skills
• Previous minute taking experience
• Experience of booking travel and accommodation for stakeholders
• Previous experience of supporting one or more senior staff members in a secretarial capacity
