The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role

The Professional Standards Department (PSD) are seeking an Audio Typist / Administration Officer to provide an effective and efficient text preparation service and administrative support to the management and staff of the department. The successful applicant must exhibit the highest integrity due to the sensitive information they will be privy to.

Key Responsibilities

The role is responsible for:
• Accurately transcribing audio recordings within agreed deadlines, for example, of interviews, statements and conduct proceedings.
• Assisting members of the department by undertaking a range of administrative duties including general typing, collecting and distributing the post, photocopying, filing and archiving.
• Acting as a professional point of contact for members of the public, other Surrey Police employees and external organisations.
• Managing correspondence into the department (by both email and post) and preparing suitable responses.

Skills & Experience

• Demonstrable experience within an administration environment or five GCSEs including English Language (or equivalent).
• The ability to work accurately and meticulously to predetermined time scales demonstrating effective time management and prioritisation skills with the ability to manage their own workload without close supervision.
• Excellent keyboard skills of at least 60 words per minute, including experience in the use of Microsoft Office packages, and willingness to undertake training to develop the necessary skills required to use Surrey Police systems including Centurion and Niche.
• Excellent interpersonal and communication skills, demonstrating a customer service focused approach to dealing with enquiries handling irate telephone callers tactfully, in a firm but polite and professional manner.
• The ability to work effectively in a team environment, demonstrating a flexible and adaptable approach with the ability to handle a number of matters simultaneously within a busy office environment.
• The ability to act with integrity, honesty and complete discretion in view of the personal, sensitive and confidential nature of the work within the Professional Standards Department.
• An objective outlook with the ability to remain detached from the contents of the work.
• The ability to quickly assimilate a reasonable working knowledge of the structure of Surrey Police together with the administrative policies, procedures and systems.
• An understanding of the concept of continuous improvement and is willing to contribute towards improving the administration systems within the team to build upon the standards of service provided.
