This role is within a unit where Surrey Police and Sussex Police work in collaboration, whilst continuing to be two separate legal entities/employers with different terms and conditions.


Both Surrey Police staff and Sussex Police staff are employed in this unit on their own force terms and conditions.


Successful candidates may be appointed on the terms and conditions of employment of either Surrey Police or Sussex Police, depending on organisational requirements. A discussion will be held with the successful candidate to confirm the details of location, salary, allowance and hours.

The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role

Intelligence Support Assistants are employed within Surrey Police and Sussex Police in order to:

Provide effective and efficient administrative and intelligence management support within an Intelligence Unit.

Ensure effective management of data on local, Force and national systems, including review and update to ensure appropriate data quality (accuracy, relevance and timeliness), compliance with legislation, policy and procedure, and to enable audit.

Respond to calls and emails from customers both internal and external and to coordinate a response and transition of information within Surrey and Sussex Police, and out to other forces and agencies

Key Responsibilities

2.1 Monitor and coordinate requests, tasks and material received in the Intelligence Unit from a variety of systems, such as NICHE, outlook mail box and hard copy, flagging any relevant risks to the management team.

2.2 Collate, complete and submit data templates to support the Intelligence Department contribution to Tasking Coordination and status drift processes, including performance data and spreadsheets.

2.3 Search police systems for specific data in order to populate defined templates.

2.4 Acting as the single point of entry into the Intelligence Unit, register, record, action and coordinate responses to phone calls, correspondence and data returns required by local, regional and national agencies to ensure the effective and timely dissemination of relevant material back to the requesting department.

2.5 Record and disseminate actions, update paperwork and electronic systems and coordinate responses from intelligence staff for meetings involving the intelligence management team.

2.6 Maintain records of assets and expenditure within the Intelligence Unit, as appropriate to the posting. Support and manage the account audit process in relation to unit accounts and cash floats.

2.7 Maintain electronic and paper filing systems already in place, flagging to the intelligence management team any gaps or out-of-date entries.

2.8 To provide support to spontaneous, critical and major incidents or events as directed.

2.9 To conduct all responsibilities in strict adherence with all relevant legislation, codes of practice, standards, protocols, procedures and guidelines.

2.10 To undertake such other duties appropriate to the grade and character of work as may reasonably be required, including the specific duties of similar or lesser graded posts.

We are looking for candidates with the following skills and experience and we will assess your whole application against these essential criteria:

ESSENTIAL:

1. You will be able to work both as part of a team and independently, and be able to establish and maintain collaborative relationships with partners and colleagues. You will have a flexible approach towards achieving team objectives and be willing to undertake a wide range of duties.

2. You must be able to demonstrate effective written and verbal communication skills. You will have the ability to produce clear, concise and accurate written records and reports. You will be confident to initiate or respond efficiently with enquiries from staff and partners, and be able to demonstrate a customer service focused approach to dealing with enquiries.

3. You will be able to demonstrate competence using computer systems, with accurate keyboard and data entry skills and competence in the use of Windows based software (including spreadsheets and databases).

4. You will have the ability to: identify potential risk, assess information for data quality and accuracy against given standards, consider information in the light of other information which may alter its risk and/or relevance, make links between information.

5. You will have effective time management and prioritisation skills, to meet deadlines without constant or close supervision. You will also have the ability to work calmly and effectively, especially when working under pressure.

6. You will possess the ability to search and process information using own initiative to solve problems, taking reasoned and responsible decisions that consider all the relevant factors and information.

7. You will be educated to GCSE level, with 5 GCSEs grade C or above (or equivalent) to include English.
